Scheduling is most of the front desk's phone time, and every call competes with the patient at the counter.
Where it breaks down:
Booking and rescheduling calls arrive all day.
The phone rings while a patient is checking out.
Different visits need different lengths of time and different people.
Mistakes mean wrong-length appointments and gaps in the schedule.
A reschedule frees a slot that nobody refills quickly.
Chair time goes unused.
We started from how a dental schedule actually works: visit types, time, and who the visit is with.
- A cleaning, an exam, and a filling are different visits with different lengths and providers.
- Most patients just want a time that fits, not a conversation.
- Treatment visits depend on a treatment plan, which isn't a scheduling decision.
The agent had to:
- Book only the visit types you allow.
- Write to the calendar you already use.
- Pass treatment bookings and anything clinical to your team.
A RevAIvo Voice agent that books to your visit-type rules and your calendar.
Visit-type rules
The visit types the agent may book, how long they take, and the lead times are set in its prompt and guardrails.
Calendar connected
Connects to Google Calendar or TidyCal, so bookings and changes land where your team already looks.
Reschedules and confirms
Moves or confirms an existing appointment after confirming who is calling.
Treatment goes to your team
Anything tied to a treatment plan, such as a filling or a crown, is passed to your team.
It brings in your team when…
Scoped narrow on purpose. Where you've set a number it can connect the caller; otherwise it logs a callback request for your team.
- The caller wants a treatment visit.
- The caller describes pain or an urgent problem.
- No suitable slot exists and a person needs to decide.
- The caller asks for a person.
What the call sounds like
Hi, I need to reschedule my cleaning appointment for next week. Do you have anything on Thursday?
Of course. Can I have your name and date of birth so I can find it?
Elena Park, October 2nd, 1988.
Thanks, Elena. I see your cleaning on Tuesday. For a cleaning on Thursday I can offer 9:00 or 2:30.
2:30 works. Can I add a filling while I'm there?
Treatment visits are booked by our team, because they depend on your treatment plan. I'll move your cleaning to Thursday at 2:30 now, and log the filling request for our team.
Great, thanks.
You're welcome. When we hang up, I'll text you a confirmation of your Thursday appointment.
Sent after the call
Your appointment is now Thursday at 2:30. If you need to change it, call (555) 010-0210.
Your appointment is confirmed for Thursday at 2:30. Add it to your calendar: maplestreetdental.example.org/calendar. If you need to make a change, call (555) 010-0210.
Message wording is illustrative and deliberately minimal: no health details. It goes out when the call ends, based on how the call went.
What changes for your team
An illustrative scenario:
Say your team handles 500 booking calls a month, and the agent takes 40% of them end to end, at an assumed 5 minutes a call. These figures are assumptions for illustration, not customer results.
In a pilot we measure this with you, on your own calls in RevAIvo Pulse: calls connected, how each call ended, and how many needed a callback.
Routine booking handled on the phone, and a front desk free for the people in front of it.
Scheduling on your rules, with treatment visits always passed to your team.
