Appointment Confirmation & No-Show Prevention

Calls patients ahead of their visit to confirm, move, or cancel, so a likely no-show becomes a rescheduled visit or a slot your team can refill.

The challenge

A no-show is an empty chair that nobody had a chance to refill.

Where it breaks down:

Confirmation calls are made in between everything else.

What it costs:

Calls get skipped on busy days.

A patient who can't come often doesn't say so until they don't show.

What it costs:

The slot is lost with no chance to refill it.

Nobody can see which visits are confirmed.

What it costs:

The day starts with uncertainty.

The approach

We treated a confirmation call as a way to find out early, not as a formality.

  1. A confirmation call has three outcomes: confirmed, moved, or cancelled.
  2. A cancellation with notice is a slot someone else can still use.
  3. Calls to patients need care about who is on the line and what's said.

The agent had to:

  1. Reach the right person before saying anything about the visit.
  2. Confirm, move, or cancel on the spot.
  3. Record every outcome, so the day's schedule is clear.
The solution

A RevAIvo Voice outbound agent working from your contact list and your calendar.

1

Confirms ahead of time

Calls before the visit, so there's still time to act on the answer.

2

Moves on the call

Reschedules against your calendar (Google Calendar or TidyCal) when the patient can't make it.

3

Frees the slot

A cancellation releases the slot with notice, so it can go to your cancellation list.

4

Schedule clarity

Confirmed, moved, cancelled, and not reached all land in Pulse by outcome.

It brings in your team when…

Scoped narrow on purpose. Where you've set a number it can connect the caller; otherwise it logs a callback request for your team.

  • The patient asks a clinical question or mentions pain.
  • The patient asks to speak to a person.
  • The patient asks to stop receiving calls. The request is recorded for your team.
  • Someone other than the patient answers and your rules don't cover it.

What the call sounds like

Illustrative exampleNot a recorded call
Agent

Hello, is this Dana? This is the dental office confirming your cleaning tomorrow at 10:30. Will you be able to make it?

Patient

I'm not sure I can. Work is crazy this week.

Agent

No problem, I can move it. I have Wednesday at 4:00 or next Monday at 8:00.

Patient

Next Monday.

Agent

You're moved to Monday at 8:00, and tomorrow's 10:30 slot is released. See you then.

Patient

Thanks.

Agent

You're welcome. I'll text you the new time when we hang up.

Afterward: The released slot can go straight to your cancellation list. Confirmed, moved, and cancelled outcomes are all in Pulse. The confirmation goes out when the call ends.

Sent after the call

TextWhen the call ends with a moved appointment

Your appointment is now Monday at 8:00. Your previous time has been released. If you need to change it, call (555) 010-0210.

Message wording is illustrative and deliberately minimal: no health details. It goes out when the call ends, based on how the call went.

What changes for your team

An illustrative scenario:

280confirmation calls a month your team wouldn't have to make
23 hoursof staff time back each month
Every calllands in RevAIvo Pulse with its outcome, ready to review

Say your team handles 700 confirmation calls a month, and the agent takes 40% of them end to end, at an assumed 5 minutes a call. These figures are assumptions for illustration, not customer results.

In a pilot we measure this with you, on your own calls in RevAIvo Pulse: calls connected, when patients pick up, and outcomes by disposition.

The result

A likely no-show found out about early, and a slot your team still has time to refill.

Confirmations that get made, and a clear picture of the day's schedule.
