Students find out about a deadline after it has gone by.
Where it breaks down:
Reminders go out by email and get lost.
The deadline passes, and so does the chance to help.
Review sessions and office hours go unattended.
Students who would benefit don't know about them.
Instructors can't call every student before every deadline.
The ones who needed a nudge don't get one.
We built it to reach students before the deadline, not after it.
- A reminder is most useful a few days ahead, while there is still time to act.
- A call that also mentions the review session gives the student something to do.
- A student who says they will miss the deadline should reach the instructor, not just hear a reminder.
The agent had to:
- Reach students ahead of the date, who have agreed to be contacted.
- Share the deadline and the help available, and nothing about a student's record.
- Log a student who says they need more time.
A RevAIvo Voice agent that reminds students of deadlines and exams while there is still time to act.
Your list, with consent
Works only the students on the list you provide, who have agreed to be contacted by your institution.
Deadline plus help
Gives the date and time, and invites the student to the review session, office hours, or a help session.
Consent first
The first text carries the assignment or exam page, and asks the student to confirm they would like text updates for this course. Later texts go only to students who confirm.
A problem is logged
A student who says they need more time, or that something is wrong, is logged for the instructor. The agent never grants an extension.
It brings in your instructor when…
Scoped narrow on purpose. Where you've set a number it can connect the caller; otherwise it logs a callback request for the instructor.
- The student asks for an extension.
- The student says they aren't ready, or are struggling.
- The student asks about their grade.
- The student asks to stop calls. The request is recorded for your team.
- The student asks for a person.
What the call sounds like
Hi, is this Marcus? This is a call on behalf of Professor Marlowe's STAT 101 course. Problem Set 4 is due Friday at 5 p.m., and there's a review session with the TA on Thursday at 6. Is now an okay time?
Yeah. I'm a bit behind on it, honestly.
That's okay, and the review session is a good place to catch up. I can't change the deadline, but I can log a note for Professor Marlowe if you'd like them to follow up.
Yes, please.
Done. When we hang up I'll text you the problem set page and the review session details. The text will also ask you to confirm you'd like text updates for this course, and I won't send more unless you do.

Hi Marcus, thanks for talking with us. Problem Set 4 is due Friday at 5 p.m., and the TA's review session is Thursday at 6 p.m. Details: hartwell.example.org/stat101/ps4.
The first text asks the student to confirm they would like text updates for this course. Later texts go only to students who confirm. Messages go out when the call ends, and the wording is illustrative.
What changes for your team
An illustrative scenario:
Say your team handles 1,000 reminder calls a month, and the agent takes 40% of them end to end, at an assumed 5 minutes a call. These figures are assumptions for illustration, not customer results.
In a pilot we measure this with you, on your own calls in RevAIvo Pulse: calls connected, when students pick up, and outcomes by disposition.
Students who hear about the deadline while they can still act, and a way to the review session when they need one.
Reminders that reach people, without the instructor making every call.
