Pledge & Recurring-Gift Reminders

Reminds donors about pledge installments and renewals, and helps them update a payment method that needs attention. When the call ends, a secure link goes out by text or email.

The challenge

A pledge is a promise, and promises are easy to forget.

Where it breaks down:

Pledge installments come due, and reminders go out as a mass email.

What it costs:

Payments slip, and chasing them becomes a staff task.

Recurring gifts fail when a card expires.

What it costs:

Loyal donors lapse without ever deciding to.

Calling about money feels awkward, so staff put it off.

What it costs:

Reminders happen late, or not at all.

The approach

We made it a friendly reminder, never a collections call.

  1. Most late payments are oversights, not objections.
  2. A reminder should be warm, brief, and easy to act on.
  3. Payment details belong on a secure page, not on a call.

The agent had to:

  1. Remind donors kindly of what's due.
  2. Make it easy to pay or update a payment method.
  3. Pass struggling or upset donors to a person.
The solution

A RevAIvo Voice agent that reminds donors of what's due and sends a secure link to act on it.

1

A friendly reminder

States the pledge or renewal in the wording you've approved, and asks whether the donor needs anything.

2

Secure link afterward

When the call ends, a text or an email carries your secure link to pay or update a payment method. The agent never takes card details.

3

Not a collections call

It doesn't pressure. A donor who says it's a hardship, or disputes the pledge, goes to your team.

4

Outcome on record

Every call lands in Pulse with its outcome, so your team knows who paid, who needs a hand, and who to try again.

It brings in your team when…

Scoped narrow on purpose. Where you've set a number it can connect the caller; otherwise it logs a callback request for your team.

  • The donor says the pledge is a hardship, or disputes it.
  • The donor wants to change the amount or the schedule.
  • The donor asks to stop receiving calls. The request is recorded for your team.
  • The donor asks for a person.

Agent

Hi, is this Alex? This is a friendly reminder from the Lakeview Annual Fund that your next pledge payment is coming up this month.

Donor

Oh, thanks. My card was replaced, so it might not go through.

Agent

Thanks for letting me know. I can't take card details on the call, but I'll send you a secure link to update your payment method when we hang up. Is this the best number?

Donor

Yes, thanks.

Agent

Thank you, Alex. We appreciate your support.

Afterward: The details here are made up for illustration. The agent never takes card details, and the call is in Pulse with its outcome.

TextWhen the call ends with a donor who needs to update a payment method

Hi Alex, here is your secure link to update your payment method for your pledge: give.lakeviewfund.example.org/update. Thank you for your support.

Message wording is illustrative. It goes out when the call ends, based on how the call went.

What changes for your team

An illustrative scenario:

160reminder calls a month your team wouldn't have to make
13 hoursof staff time back each month
Every calllands in RevAIvo Pulse with its outcome, ready to review

Say your team handles 400 reminder calls a month, and the agent takes 40% of them end to end, at an assumed 5 minutes a call. These figures are assumptions for illustration, not customer results.

In a pilot we measure this with you, on your own calls in RevAIvo Pulse: calls connected, when donors pick up, and outcomes by disposition.

The result

Pledges and recurring gifts kept on track by a friendly reminder, with the way to fix a payment sent right after the call.

Reminders handled kindly, with a person for anyone who needs one.
