Event Reminders & Registration Follow-Up

Reminds registrants about upcoming events and programs, confirms who's coming, follows up with people who haven't confirmed, and reports back who needs a call.

The challenge

Events depend on who actually shows up, and the follow-up usually falls on the same few staff.

Where it breaks down:

Reminder calls are made in between running the event.

What it costs:

Reminders get skipped, and people forget.

Nobody knows who is really coming until the day.

What it costs:

Staff plan for the wrong number of chairs, meals, or materials.

Registrants with a small question don't call back.

What it costs:

A small question becomes a no-show.

The approach

We treated a reminder as a conversation with two jobs: confirm, and catch the questions early.

  1. A reminder call is short: the event, the time, and can we count you in?
  2. A question answered early is a person who still comes.
  3. What matters afterward is a clear list: confirmed, unsure, and needs a call.

The agent had to:

  1. Reach registrants with the details they need.
  2. Confirm attendance and answer the simple questions.
  3. Report back who needs a callback.
The solution

A RevAIvo Voice outbound agent that works your registration list ahead of each event.

1

Your list, one account

Load your contacts and run the reminder campaign from the same account that handles your inbound calls.

2

Confirms attendance

States the event details you've approved and asks whether the person can come.

3

Answers the simple questions

Answers from the event information you provide, and says so plainly when it doesn't know.

4

Reports back

Records what was said and who needs a callback, so staff follow up with the right people.

It brings in your team when…

Scoped narrow on purpose. Where you've set a number it can connect the caller; otherwise it logs a callback request for your team.

  • The person asks something outside the approved event details.
  • The person asks for a person.
  • The person asks to stop receiving calls. The request is recorded for your team.
  • Someone other than the registrant answers and your rules don't cover it.

What the call sounds like

Agent

Hi, is this Dana? This is a reminder call from the community center. Our community event is this Saturday at ten. Can we count you in?

Registrant

Yes, I'll be there. Can I bring my mother?

Agent

Everyone is welcome. I've noted you plus one guest. See you Saturday at ten.

Registrant

Thank you!

Agent

You're welcome. I'll text you the event details when we hang up.

Afterward: If Dana had asked something outside the event details, the agent would have said so and logged a callback request. Outcomes and callbacks are in Pulse. The details go out when the call ends.

What changes for your team

An illustrative scenario:

200event reminder calls a month your team wouldn't have to make
17 hoursof staff time back each month
Every calllands in RevAIvo Pulse with its outcome, ready to review

Say your team handles 500 event reminder calls a month, and the agent takes 40% of them end to end, at an assumed 5 minutes a call. These figures are assumptions for illustration, not customer results.

In a pilot we measure this with you, on your own calls in RevAIvo Pulse: calls connected, when people pick up, and outcomes by disposition.

The result

Registrants reminded, attendance confirmed, and a clear list of who needs a call.

A clearer picture of the day before it arrives.
