Most unfinished applications are one step short, and nobody has the time to say which step.
Where it breaks down:
Applicants call to ask what is still missing from their file.
Counselors look it up and read it back, call after call.
Applications stall one document short of complete.
A student who meant to finish quietly never does.
Reminders go out in bulk by email.
The one that mattered gets lost in a full inbox.
We treated the inbound question and the outbound nudge as one job, because they are.
- Whether an applicant calls in or gets called, the question is the same: what is still missing?
- Most stalled files are close to done, and a plain next step is often all the applicant needs.
- Status means what is in the file. A decision is never the agent's to give.
The agent had to:
- Confirm who it is talking to before it shares anything about a file.
- Say what is missing in plain language, and never touch a decision.
- Put the next step in the applicant's hands in writing when the call ends.
One RevAIvo Voice agent that tells applicants what's missing when they call, and calls the ones who stalled.
Identity first
Collects the details you require before it shares anything about a file. Texts and emails never list what is in it, they point to the applicant portal.
Completeness, not decisions
Says what has been received and what is still missing, from the file it can reach through a tool you connect over MCP. It never evaluates an application or communicates a decision.
Consent first
The first text carries the portal link and asks the applicant, or a parent, to confirm they would like text updates. Later texts go only to those who confirm.
Counselors for the rest
Exceptions, late items, and questions about chances go to your counselors as a callback request, with the details already captured.
Works both ways
The applicant calls. The agent confirms who they are, tells them what is still missing, and sends the portal link when the call ends.
Hi, I started my application last month. Can you tell me what's still missing?
Your office sets the list, of applicants who have agreed to be contacted. The agent calls those whose files are incomplete or stalled, ahead of the deadline, and walks them through what is left.
Hi, this is the admissions office. Your application is missing one document, and I can walk you through submitting it.
It brings in your team when…
Scoped narrow on purpose. Where you've set a number it can connect the caller; otherwise it logs a callback request for your counselors.
- The caller asks whether they have been admitted. The agent never communicates a decision.
- The applicant asks for an exception, an extension, or to submit something late.
- The applicant says a document was sent, but the file does not show it.
- The caller asks about financial aid or visas. Those go to the right office.
- The caller asks for a person.
What the call sounds like
Hi, is this Maya? This is the admissions office at Westbrook University. Is now an okay time for a quick call about your application?
Sure, what's up?
Before I share anything, can you confirm the email address on your application?
It's maya.chen@example.com.
Thank you. Your application is missing one item: your school transcript. I can walk you through submitting it, and there are still a few weeks before the deadline.
Oh, I thought I had sent that. How do I do it?
You can upload it from your applicant portal, or ask your school counselor to send it. I'll text you the portal link when we hang up. The text will also ask you to confirm you'd like text updates, and I won't send more unless you do.
Okay, that's fine. Thanks.
Sent after the call
Hi Maya, this is Westbrook Admissions. Here is the link to your applicant portal: westbrook.example.org/portal. Tap to confirm you'd like text updates from us: westbrook.example.org/texts. To stop texts at any time: westbrook.example.org/stop
Hi Maya, thanks for talking with us. Your applicant portal shows what is left and lets you add it: westbrook.example.org/portal. If anything looks wrong, contact the admissions office at 555-0140.
The first text asks the person to confirm they would like text updates. Later texts go only to those who confirm, and a parent confirms for themselves. Messages go out when the call ends, and the wording is illustrative.
What changes for your team
An illustrative scenario:
Say your team handles 600 application calls a month, and the agent takes 40% of them end to end, at an assumed 5 minutes a call. These figures are assumptions for illustration, not customer results.
In a pilot we measure this with you, on your own calls in RevAIvo Pulse: calls connected, when applicants pick up, and outcomes by disposition.
Applicants who know what is missing, stalled files nudged toward done, and counselors left for the conversations that need them.
One agent for the question when it comes in, and the follow-up when it does not.
